Along with your Uni ID or project number, you automatically receive a university email account, which you can access via a mail client or the webmail client SOGo.

Use

The University email account is a service for students, employees, PhD students and researchers of Heidelberg University, as external members with a project number.

Access and requirements

As soon as your Uni ID and project number has been activated, you can use your mailbox. To access it, you can use the SOGo web portal or an email client of your choice (Microsoft Outlook, Thunderbird, ...). Technical Information

SOGo supports CardDAV/CalDAV for synchronization of your settings over different devices such as your PC and smartphone.

Incoming & outgoing mail server

Incoming mail server (IMAP)

The incoming server imap.urz.uni-heidelberg.de allows you to access your mailbox via IMAP so that you can read and manage your emails directly on the server as well as synchronize it with an email program on your PC or smartphone.
You can access your mailbox on every common email program (e.g. Outlook, Thunderbird, Apple Mail) or SOGo Groupware with your Uni ID or project number.

Outgoing mail server / Smarthost (SMTP)

The outgoing mail server / Smarthost mail.urz.uni-heidelberg.de allows you to send emails via SMTP.
You can use the server within the University network without authentification; using it outside of the University network requires authenitication with your Uni ID or project number.

Please notice: For security reasons, sending emails via the university's outgoing mail server mail.urz.uni-heidelberg.de is currently only possible from end devices within Germany (in the area of the top-level domain "DE") or with a VPN connection to Germany (e.g. to the university VPN server).

Can I assign an email address alias that shows more than just my project number?

The IT Service can assign aliases for all ab123[at]uni-heidelberg.de and ab123[at]stud.uni-heidelberg.de email addresses. They usually follow the pattern:

<firstname>.<lastname>[at]uni-heidelberg.de
<firstname>.<lastname>[at]stud.uni-heidelberg.de

University employees can have their email alias assigned with their relevant institute acronym by their IT representative, for example: <firstname>.<lastname>[at]urz.uni-heidelberg.de

Can I forward my emails to another email address and is forwarding to private email accounts permitted?
It is essential to maintain confidentiality especially when dealing with work-related emails. For this reason, the Email Use Policy stipulates that University employees are generally prohibited from automatically forwarding official emails from their University email account to a separate, non-University email account.
How can I forward my emails (e.g. to an email address that I regularly check on my smartphone)?
For employees, the following applies: As a rule, work emails may only be forwarded to an internal University email address (see the Email Use Policy linked below).
You can forward your emails to another email address through the settings of the SOGo web interface. To do this, click on “Preferences” and select the “Forward” tab. Check the box “Forward incoming messages” and enter the email address which you would like the emails to be forwarded to. You can also check the box “Keep a copy” so that all emails will also be kept in your SOGo folder. Don't forget to save these settings before moving to another page. We recommend checking your emails regularly with your preferred email client. If you set up forwarding, you should nevertheless remember to reply with your university email address to avoid any difficulties in attributing the email address.
